This year again, I had the opportunity to accompany a European client to China to visit several manufacturers of solar module production equipment. It was an intense and insightful journey, during which we visited multiple machine builders across different regions.

The starting point was the search for a special-purpose machine, not commonly sold off-the-shelf.
The client initially contacted known suppliers and collected a few quotations on his own. Soon, however, he realized that the offers he received were inconsistent with his technical requirements. On paper all offers looked similar and prices varied widely, sometimes suspiciously high or low.

After a deeper look it became clear that he had been speaking with the wrong counterparts like people without the right technical background or commercial authority in the company.
Understanding the risk of making a costly mistake, he decided to contact Experia Solution. After an initial call in which he explained the situation, we agreed to manage the process together.

 

From Screening to Structured Comparison

The first step was to eliminate resellers and reach out directly to the real manufacturers: for each company we identified the key decision-makers and technical contacts, then drafted a uniform technical specification to send to all suppliers.

This step immediately revealed key differences: in some cases, “not possible” simply meant that the company lacked the capability, not that the requested technology was unfeasible.

By analyzing the offers in detail, we discovered that price gaps were mostly due to differences in component origin (like Chinese vs. Western), safety standards and CE conformity.

Once all data were standardized, the offers became truly comparable and prices aligned to realistic levels. We then shortlisted the most reliable candidates and decided to organize an on-site visit to China.

 

The Value of On-Site Visits

Visiting suppliers in person is essential. Every company is different in terms of leadership, structure, technology level, organization and market positioning.

A field visit immediately reveals who is really behind the name, whether the company has an internal R&D department or outsources it, whether it’s a mechanical workshop or a genuine technology hub, whether it holds patents, what projects it is currently working on and its real production capacity.

Only by seeing things with your own eyes can you interpret offers correctly and understand the true level of the product. Behind a single commercial line item there can be technologies and design choices that lead to very different outcomes.

Chinese manufacturers are proud to showcase their technical progress.Visiting them in person helps overcome language and cultural barriers, opening space for real dialogue, new questions and clearer answers.

Finally, there’s the human side. Every company has its own way of welcoming visitors: a lunch, a dinner, a small gift like fine tea. These gestures, while simple, are invaluable for building trust and mutual respect, the foundation of any successful long-term cooperation.

 

From Trip to Technical Report

Once the visits are completed, the next crucial step is to collect and re-elaborate all technical and commercial inputs from each supplier.
Every company receives a technical report to confirm whether it can meet the defined requirements or propose viable alternatives.

Only after this stage does it make sense to proceed to the final commercial offer which should include not only the price but also:

  • delivery times,
  • warranty conditions,
  • installation, training and after-sales support.

This structured process provides a clear and transparent overview of the supplier selection phase, avoiding decisions based on habits or assumptions. Engaging with suppliers that are constantly up-to-date on new technologies helps rationalize decisions and achieve a more efficient and production-aligned solution.

China is a vast and dynamic country full of opportunities but also complexities. A well-organized business trip, with clear goals and a structured method, makes the difference between a productive experience and an inconclusive one.
